Find the work outside the ledger
A finance system can be functioning correctly while the team still spends days collecting attachments, chasing approvals, matching project codes and explaining differences between spreadsheets. Buying another system may not address those handoffs.
Follow one transaction from request to approval, posting, payment and reporting. Record where somebody rekeys information, waits for context or repairs a mismatch. Separate avoidable administration from judgement that should remain with finance. A recurring journal still needs an accountable preparer and reviewer even when its preparation is automated.
Check the product, edition and permissions
Xero, MYOB, SAP and NetSuite are not interchangeable integration targets. Establish the exact product, enabled modules, entities, account structure and access available before estimating a build. A vendor name alone does not establish that a particular workflow can be automated.

Xero documents an Accounting API, while MYOB maintains product-specific API documentation. Those interfaces establish options to investigate, not a guarantee that every transaction or approval is exposed. Start by checking native configuration before adding a separate integration.
Keep authority separate from preparation
A workflow may collect an invoice, propose coding, detect missing documents and prepare an approval task. That does not give it permission to approve the invoice, amend supplier bank details or release a payment. Those authorities should remain explicit in roles and system permissions.
Use stable transaction identifiers and a recorded processing state so a retry does not create a duplicate posting. Record the source, entity, period and approval reference. Send ambiguous matches and missing information to a visible exception queue instead of choosing a plausible answer.
AI may help extract or summarise variable documents. Deterministic rules should validate totals, required fields and entity boundaries. Human review should cover material judgement and high-risk changes; a confidence score is not a substitute for that review.
Compare one complete cycle
Begin with a read-only output or a shadow run alongside the current process. Reconcile record counts and control totals to the authoritative source, including reversals and late adjustments. Test missing attachments, incorrect entity codes, duplicate inputs, expired access and a failed retry.
Measure preparation time, review time, unresolved exceptions and time to an accepted report. A shorter extraction job is not an improvement if the finance manager spends longer checking it. Agree who supports the workflow when an API or account mapping changes.
